Receptionist Course 👩💼 Technologies - Ninsaúde Apolo
The job market is increasingly competitive, and for those who want to stand out, being on top of everything new in the world of technology is essential. Those who work in clinics and offices should not be left out of this update, therefore, In this article, we will help you to better understand today's technologies and how to benefit from them at work.
With each passing day, items with more and more advanced technology are emerging, and for the most part, they aim to help people's daily lives. Many are indeed used for leisure, as is the example of smartphones with their various applications for games, music, video, etc., but the fact is that even these items serve as a working tool.
Even though digital inclusion is increasing, many people have difficulty when it comes to using certain technologies. For this reason, in this article, we will talk a little about the main technological resources used in a medical office or clinic. These are simple tips, but they can save your day when some equipment doesn't work the way it should.
Before we continue, we need to know: Do you already use medical software to perform your consultations at the clinic? We invite you to get to know Ninsaúde Apolo, online software that can be used on a tablet, smartphone, or in the traditional way, on computers. Learn more on our website apolo.app.
Smartphones
Gone are the days when cell phones were just for making calls, or at most sending text messages. Today cell phones are called smartphones and along with them, there are several applications, which are even used by companies.
Is your device up to date?
Smartphones, whether Android or IOS need updates constantly. Most of the time, when an update is available, the device itself sends a notification on the screen and that way, just start it. These updates are important for applications to continue running at high performance and thus prevent crashes on the device. If you want to check if your device is up to date, Just access the device's settings and look for "software update" (or something similar to this, since not all models are the same).
Lack of space in memory can be a problem
You have certainly tried to download an app or even tried to update an existing one and came across a full memory alert. Unlike older models, devices today have a recycle bin, so whenever you delete a file, it is not immediately deleted, it goes to the recycle bin and there it is making a volume in the device's memory.
On most devices, after a certain time (usually 30 days), the system itself deletes everything in the recycle bin. However, as a guarantee, the ideal is to perform these cleanings manually right after deleting the files. The trash is usually located in the gallery itself, you can usually access it through three dots that are on the upper side of the screen.
Another tip to free up space is to clean directly at the storage location. Most devices these days have a place within the settings where you can clear storage data that is no longer important to apps, and that frees up memory space. Each device brand/model has this functionality under a different name, so we can't specify it here. But usually, you must go to Settings and press on Device Assistance or cleaning.
Browsers are villains too
Simply put, we can say that internet browsers are tools used to access websites. Who uses computers with Windows systems must have heard about "Internet Explorer", right? This was Microsoft's default browser, which a few years ago evolved into "Microsoft Edge". Other well-known browsers are Google Chrome and Mozilla Firefox.
When it comes to smartphones, most come from the factory with an internet browser installed, and in general, they are generic browsers of their brand. We do not recommend using this type of browser, because they often do not meet the requirements of various sites, which can cause problems opening files, and making video calls, among others. In this case, we recommend that you download Google Chrome, which is one of the best browsers. Mozilla Firefox and Opera are also great options.
If you use a smartphone with an IOS system, must be used to using the Safari browser, right? In this case, depending on the site you are accessing, we also recommend that you use Google Chrome, as many native Google features may not work perfectly in Safari (which is a browser made for Apple products). That is, always have at least one backup browser, because if you have problems using one, you can test using the other.
Internet connection
In clinics and offices, it is common to use software, with cloud software being the most common of them. Also called online software, this type of software does not require installation on your computer or smartphone, you just need to be connected to the internet to use it. This is the case of the Ninsaúde Apolo software, which you can easily access via your internet browser.
A recurring thing among software users is that, when noticing a certain slowness, the user goes to other websites to confirm if the problem is with the software or with their internet connection. This is not always a good idea, because unbeknownst to you, the problem may be related to your connection rather than the software. It's hard to accept this hypothesis when the problem occurs on only one specific site, isn't it? But let's explain why this happens.
We will take Ninsaúde Apolo as an example, which is online software. Ninsaúde Apolo is hosted on a server located in the north of the USA, however, other websites you access may be hosted on servers anywhere in the world (maybe in another country or even in your city). So, if your connection is having problems just for this web address, what can happen is that your internet provider has some temporary limitations to accessing sites from a specific place.
In these cases, the best way to find out what the source of the problem is is by accessing the software through another provider. You don't have to go very far for this: just perform access through your cell phone data. There are currently thousands of internet providers spread across the country, and many of them are from local companies that only provide internet. So if your cell phone operator is not the same one that provides the internet for your office or clinic, it's worth taking the test to clear the doubt.
Therefore, if the website in question works normally when you access it via mobile data but does not work when you use your usual internet provider, means the problem is with the provider. This error may be due to an intermittence in the optical fiber that passes in the depths of the ocean (each internet provider has its own), or even a pole in a region that suffered from rains, in addition to other possible problems. If a fiber is damaged, the internet provider will try to use another path to access the site, which path may be longer and thus cause slowdowns.
In many cases, the slow internet issue can be resolved with the simple act of restarting the router or even restarting the computer you are working on. However, as this does not always help, the correct thing is to carry out the mobile data test as mentioned above and if it is found that the problem is the connection, contact your internet provider's support to explain the whole situation.
Computers
At the reception of clinics and offices in Brazil, the most used type of computer is the one that has the Windows operating system, from the Microsoft company. Windows has several versions, and it must be always up to date so that all programs and applications work correctly on the computer.
For example, if you use Windows 7, you will likely encounter problems using certain features on your computer, since the most current version is Windows 11. In addition to these outdated versions bringing slowness, you may not be able to update many programs due to a lack of compatibility and you will still be subject to hacker attacks.
It is worth remembering that in May 2017 a virus called Wannacry affected more than 200,000 computers in 150 countries, Brazil being the fifth most affected country. Kaspersky, a Russian technology company specializing in security software, claims that this type of attack is possible thanks to a security flaw in Windows and that this failure could have been avoided if the affected computers had been updated, which they did not.
Browsers
As with smartphones, on computers, it is also necessary to use a browser to access online software and websites in general. The tips remain the same: always give preference to Google Chrome. If you use an Apple computer, you will certainly be using Safari, but in some cases, it is necessary to use Google Chrome for your experience to be even better, as is the case of those who use Ninsaúde Apolo.
Just like operating systems, browsers also need to be up to date. Most of the time they update automatically, but in case you are experiencing any browsing problem, it is always important to check that the browser is in fact up to date. For this, if you are using Google Chrome, press on the three dots on the upper right side, go to Help, and then tap About Google Chrome. Once this is done, a new one will appear containing information about the current version of Chrome and if there is any update available.
In addition to constant updates, another important tip is to clean your browser data. You must have visited a site that asked you to accept cookies, right? Cookies are files that are stored on your computer through your browser, and on the same line, there are also cached files. As time goes on, more and more cookies and other files are being stored, which may generate conflicts in some websites and online software that you may use.
Cleaning cookies and cached files are very simple, just access the three dots already mentioned above, but this time click on More tools and then on Clear browsing data.
Once this is done, the next step is to select which data you want to clear. Notice in the image below that there are two tabs: Basic and Advanced. It is important to access both tabs and check the options for cookies and cached images that exist in both. Options equivalent to browsing history and passwords are not necessary to clear, but if you prefer, you can do so. When checking the options, tap on Remove data.
Another important feature about browsers is that by default they usually block pop-ups, ie external windows of certain websites. It is quite true that many websites display pop-ups with advertisements and even viruses, however, pop-ups are also used for really serious tools.
In Ninsaúde Apolo, for example, when you use recipes or other files for printing, some of these files open in pop-ups. For them not to be blocked by your browser, pop-ups must be enabled on the site. To do this, with the software page open, press the lock icon next to your address, in the left corner of the screen. Then press on Site Settings and look for the pop-up and Redirects option.
Another important function that must have permission enabled is the camera. Within the Ninsaúde Apolo software, it is possible to photograph patients with the computer camera, so that the image is attached to their registration record. To perform this function, you must allow the use of the camera in the browser settings.
Footer and header information
In software like Ninsaúde Apolo, you can print different types of documents and reports. When using the print tool, you may come across information in the header and footer of the page, that concern the date, and time, among other data that we do not always want to be visible in the print. What many users don't know is that this information can be hidden, and this configuration is done directly in the internet browser.
To do this, before sending the document for printing, press on the More settings option and then look for Options. The option Headers and footers must be disabled, and for that, just uncheck the option.
